Sales Associate

Overview

The MOCA Store Sales Associate provides customer service, completes sales transactions, maintains the physical appearances of stores, and completes opening and closing procedures.  The Sales staff follows daily performance guidelines provided by management and are expected to work collegially as part of the Retail Operations Department.

This is a part-time position requiring you to work onsite. Weekend work will be required.
Hourly Wage: $18.97 per hour

Essential Functions

  • Work closely with the Sales Manager, Retail Coordinator, Webstore, Shipping Coordinator, and fellow Sales Associates.  
  • Use your creative eye to maintain unique shop displays.  
  • Interact positively with museum staff, donors, and museum visitors. 
  • Meet and greet customers.  
  • Guide and assist customers with sales of our unique selection of products and publications.  
  • Grow knowledge of art books and products.  
  • Operate Point of Sale cash registers with accuracy and process special orders.  
  • Complete clear and accurate end of day sales reports.  
  • Maintain communication with supervisors and colleagues. 
  • Assist in all aspects of keeping the MOCA Store looking smart, sophisticated, interesting and well organized.  
  • Promote sales of Museum Memberships through the Store and process appropriate paperwork.  Interact with the public and answer or direct questions regarding the Museum. 
  • Have a neat and professional appearance according to MOCA Store dress code.  

Requirements

  • Effective customer service-oriented interpersonal skills.  
  • Promptness and reliability are essential.  
  • Accuracy in cash handling.
  • Prior retail experience is preferred.  
  • Availability to work Saturdays or Sundays, plus two additional weekdays with the opportunity to work additional hours.  
  • Ability to work independently.  
  • Knowledge of, or interest in contemporary art.

Accounting Manager

Overview

Under the supervision of the Director of Finance, the Accounting Manager is responsible for the timely and accurate maintenance of the Museum’s accounting information and payroll processes. The role supervises one direct report (Accountant) who will prepare and submit entries for the Accounting Manager’s review.  Previous experience in nonprofit accounting is desired.

This job requires knowledge and skills in technical accounting and an eagerness to research and apply GAAP guidance. Advanced Excel skills are also a requirement. There should be a high level of comfort with examining and reconciling a general ledger and a keen eye for reviewing the work of others. MOCA utilizes the Sage Intacct accounting system and Paylocity HRIS (demonstrated knowledge of Sage or other accounting software is necessary for this position, as well as comfort with handling payroll transactions). We offer an opportunity to learn and grow within a small team while collaborating cross-functionally with other departments across the museum.
Salary: $90,000-100,000 per year

Requirements

  • Minimum Bachelor’s degree in Accounting or Finance; MA and/or CPA preferred
  • Minimum 5 years of accounting experience, preferably in non-profit 
  • Strong technical knowledge of MS Excel and Sage Intacct and/or other accounting software
  • MOCA uses Sage as their general ledger accounting system, Bill.com for payables, and Paylocity as HRIS. Experience with any of these systems is a plus.

Responsibilities

Payroll responsibilities include: 

  • Preparing and submitting bi-weekly payroll as approved by the CFO
  • Assisting HR in the oversight and maintenance of employee payroll records
  • Maintenance and reconciliation of employee benefits (insurance benefits, FSA/HSA contributions, 401K contributions)
  • Submitting and reconciling all payroll expenses to the general ledger, including month-end accruals
  • Supporting HR in maintaining MOCA’s compliance with state and federal employment regulations

Accounting responsibilities include:

  • Coordinating and reviewing month-end entries which are prepared by the Accountant (fixed asset depreciation, amortization of prepaid expenses, imports of monthly MOCA store activity, imports of monthly credit card activity)
  • Reviewing bank reconciliations performed by the Accountant
  • Reconciling month-end general ledger balances 
  • Performing monthly general ledger closes within the accounting software (Sage Intacct)
  • Communicating with Accounts Receivable on issuing invoices and following up on outstanding items on the AR Aging
  • Reconciling revenues recorded to the general ledger (Sage Intacct) with fundraising records maintained by Advancement (Blackbaud Altru)
  • Communicating with MOCA staff credit cardholders on their deadlines for providing coding and support for their monthly credit card expenses
  • Assisting Director of Finance in preparation of monthly budget vs actuals analysis and cash flow analysis
  • Overseeing the reporting, payment, and reconciliation of sales taxes with the assistance of the Accountant
  • Leading the preparation and issuance of annual 1099s to vendors with the assistance of the Accountant
Other responsibilities include:
  • Leading annual audits of the workers compensation policy and 401K plan
  • Assisting the Director of Finance in researching accounting guidance and drafting memos that apply appropriate GAAP standards and tax compliance to museum processes and policies
  • Supporting the Director of Finance in fulfilling requests for the annual financial statement audit and 990 tax filing
  • Preparing reports in Sage Intacct to support department heads in their budget oversight and financial decision-making
  • Collaborating with various MOCA departments and fielding requests that arise from reviews of their monthly budget vs actuals reports

Gallery Attendant I

Overview

Gallery Attendants create a positive, warm, welcoming, accessible, and enjoyable experience in the museum’s galleries by engaging with visitors and protecting the artwork. Scheduled at either of MOCA’s downtown locations (MOCA Grand and MOCA at the Geffen Contemporary) Gallery Attendants staff the museum, queuing, and entry points during public hours, special events, and public programs; in addition, they handle ticketing admissions as well as membership sales and service. Gallery Attendants help ensure visitor and staff are in compliance with the museum’s code of conduct.
This is a part-time position requiring you to work onsite. Weekend work will be required.
Hourly Rate: $18.97 per hour

Requirements

  • Friendly and outgoing disposition; strong communication skills to interact with diverse visitors; understanding of how body language can convey a welcoming yet professional presence.
  • Experience dealing with the public in a customer service or hospitality capacity. Hospitality-oriented individuals with strong people skills are preferred.
  • Familiarity with museums; strong interest in contemporary art.
  • Ability to handle fast-paced events, as well as to remain focused and attentive during quieter times.
  • Exercise and demonstrate good judgment consistently.
  • In partnership with security personnel, willingness to act as a “first responder” in emergency situations such as earthquakes, power outages, or incidents requiring medical attention.
  • Three days per week minimum availability. Flexible on-site schedule; must have weekend availability which is defined as Saturday and/or Sunday, and willingness to work evenings, holidays, and special events including, the annual gala, education events, press event, members events, opening night, opening weekends, and closing events at both downtown locations – MOCA Grand Avenue in Downtown Los Angeles and The Geffen Contemporary in Little Tokyo – as assigned.

Essential Functions

  • Proactively engage, greet, and orient visitors while protecting artworks on view.
  • All Gallery Attendants will adhere to museum rules and policies including those outlined in the Visitor Code of Conduct.
  • Run check-in for special events and public programs, including keeping the line organized and communicating updates with event/program attendees.
  • Maintain posts in the museum lobby and galleries during public hours and events.
  • Assist MOCA Security with fire/life safety protocols, including medical incidents or emergency situations.
  • Participate in daily briefings and additional scheduled trainings, including curatorial walkthroughs of new exhibitions.
  • Set up and strike wayfinding devices, ticketing signage, and visitor engagement collateral.
  • Use Altru and XTruLink ticketing and scanning systems as trained to accurately capture required visitor information and process transactions for both free and paid admission.
  • Maintain up-to-date knowledge of MOCA’s membership benefits and actively promote MOCA’s membership programs.
  • Maintain up-to-date knowledge of museum information by reading and reviewing all staff communications and attending all staff meetings.
  • Maintain up-to-date knowledge of policies and procedures as outlined in training sessions, staff meetings, written handbooks and the VE Google Site.
  • Assist patrons with accessibility aids; use the two questions outlined in the Americans with Disabilities Act, to ensure proper access for prospective ticket-purchasers with service animals.
  • Perform other duties as assigned.

Upon satisfactory completion of a 90-day probationary period:

  • Complete training to provide logistical support during Contemporary Art Start hours.
    • Run pre-tour check-in and manage the restroom line.
    • Observe tours when appropriate offering extra art protection in the gallery.
    • Participate in daily debriefing after student tours end.
